The Department of Recreation is seeking a qualified candidate for the position of Head Clerk, under the direction of the Director of Recreation, this position will be responsible for the department’s financial administration by monitoring the budget and revolving fund and maintains all records and documentation. Processes department payroll by creating purchase orders and processes accounts payable. Provides information and assistance to the public through registering program participants; monitors program participation; receives payments and provides receipts and maintains up-to-date records of participants. Works with the Public Works Department to ensure there is consistent collaboration and communication between the departments. Prepares and submits monthly reports of income and expenses for all recreation programs. Researches, analyzes, and makes recommendations on items as needed by the Director. Maintains department website and shared outlook calendars to reflect up-to-date information on programs, staffing and meetings. Maintains records of field and park permits. Maintains inventory and orders supplies. Distributes and mails publicity materials pertaining to department programs. Verifies invoices received from the school department, coordinates with the school department relative to availability of school space for programs. Prepares departmental correspondence and coordinates part-time/seasonal staff; sends out applications; schedules interviews; processes necessary forms and provides information and training to employees. Performs similar or related work as required, directed or as situation dictates.
Knowledge, Ability and Skills: Ability to work independently and prioritize tasks. Ability to organize and maintain records, and the ability to communicate effectively verbally and in writing. Ability to interact tactfully and appropriately with the public. This position requires excellent communication, interpersonal and organizational skills. High attention to detail skills. Proficient computer skills including data entry, and report generation utilizing a variety of software applications including Microsoft Office and MUNIS.
Qualifications: High School Diploma; Associate degree desirable; five or more years of office experience; customer service experience preferred; or an equivalent combination of education and experience.
Salary Range: $50,712.12 – $62,371.23/Annually, commensurate with experience, plus excellent benefit package.
