ABOUT THE OPPORTUNITY:
Due to JFF’s rapid growth and opportunities for increased impact, we are currently hiring multiple Coordinators to meet the needs of various teams and projects across JFF. These new Coordinators will be assigned to specific teams or project across JFF, based on the organization’s evolving needs and candidates’ skillsets and interests. This is an opportunity to contribute to JFF’s important work, develop valuable skills, and work in an equity-centered, innovative, and mission-driven environment.
The ideal candidate will be highly organized, curious, and comfortable asking questions, able to manage up, and interested in learning new systems and processes. This is a compelling opportunity for a detail-oriented problem solver who is interested in gaining more experience related to operations, communications, and/or education and workforce development. Listed below are the different functions for the Coordinator opening:
Field Implementation Teams (FIT): The Field Implementation Team (FIT), a new team within Solutions Design & Delivery (SD&D) at JFF, plays a central role in advancing JFF’s mission applying capabilities, expertise, and talent to implement field-facing programs, initiatives, and strategic solutions across JFF and JFFLabs. The FIT will be the largest team at JFF with more than 150 members who contribute to the design and execution of JFF’s funded work across the Solutions Group, JFFLabs, Strategic Engagements, the Policy & Advocacy team, and other teams.
Policy & Advocacy Team: This team offers fresh ideas on education, workforce and poverty alleviation issues. Our policy experts design and promote policies to help federal, state, and local communities implement and sustain programs that demonstrate the most promise. We synthesize research, evidence, and input from practitioners to inform national policy and debate.
Research & Analytics Team: This team engages in research and evaluation activities that can inform practice and policies that promote economic mobility for youth and adults. The team works externally, conducting research projects and providing evaluation services for a variety of funders and other stakeholders. Internally, the team works to support the inclusion of research and evaluation components across JFF projects and creates tools and systems to enhance the efficiency of our work and promote the sharing of new knowledge across the organization and the field.
WHAT YOU’LL DO:
Depending on the team or project(s) that you are hired to support, your responsibilities may vary, but will include some combination of the items below:
Support the successful day-to-day functioning of a team or project(s)
Provide scheduling support across team or project functions (e.g., site visits, conference calls, webinars, and appointments as needed)
Draft and distribute meeting agendas, meeting materials, and meeting notes
Assist with virtual and in-person meeting and event planning in partnership with Events Team (coordinating hotel and dinner reservations, travel reimbursements, etc.)
Support contracts processing, expense reporting, AMEX reconciliation, and weekly timesheet allocations
Work collaboratively with JFF’s Finance Team and the team or project lead to submit all invoices and progress reports in a timely manner
Act as the Hiring Coordinator for your team or project’s hiring processes, providing critical support to hiring teams and People & Culture Team by liaising and scheduling interviews with candidates advancing throughout the hiring process
Identify opportunities to streamline current processes in collaboration with team or project leadership
Ensure strong internal and external communications and collaboration
Quickly build trust and rapport with colleagues and effectively liaise between team or project members and JFF’s Shared Services teams (JFF’s Finance, Marketing and Communications, Events, People & Culture, and IT teams)
Build and maintain effective relationships with internal and external partners, ensuring that team and/or project stakeholders are communicated with frequently and effectively
Coordinate production of deliverables (blogs, memos, newsletters, website content, etc.), working with colleagues on your team or project and JFF’s central Marketing and Communications team
Create, edit, and proofread materials for your team or project
Support cross-team and/or cross-organization collaboration by maintaining team or project files on SharePoint, Asana, and other collaborative spaces
Collaborate with peer Coordinators and Executive Assistants across the organization to ensure efficient, comprehensive support to senior leaders and completion of shared role responsibilities

You bring related administrative or operations support experience through a combination of full-time work, part-time work, and/or internships (Coordinators at JFF typically bring 0-2 years of prior professional experience)

You are a self-starter and creative problem solver who is comfortable working independently
You are comfortable working collaboratively within your team or project and across the organization
Your interpersonal and communication skills enable you to build trusting relationships across a diversity of internal and external stakeholders
You contribute to positive, effective, collaborative cultures and teams wherever you work
You are proficient in Microsoft Office Suite and have a willingness to learn new technologies and tools (e.g., Oracle NetSuite, Google Sites, Asana, Adaptive Planning, SharePoint etc.)
You know how to handle highly confidential and time sensitive information with necessary care and prioritization
You are curious and a quick learner, with a willingness to take in new information, perspectives, and data to inform your work
You model inclusive leadership, working effectively with diverse staff, and building and stewarding an organizational culture that embraces diversity, equity, and inclusion
You demonstrate a growth mindset and a desire to continuously improve in your work and approach
You are willing and able to travel up to 15% of the time. (The frequency will vary according to mix of projects. Note: JFF staff travel is currently limited given the evolving context around the COVID-19 pandemic.)
