Due to JFF’s rapid growth and opportunities for increased impact, we are currently hiring multiple Program Coordinators to meet the needs of various teams across JFF. These new Coordinators will be assigned to specific teams across JFF, based on the organization’s evolving needs and candidates’ skillsets and interests. The ideal candidate will be highly organized, curious, and comfortable asking questions, able to manage up, and interested in learning new systems and processes. This is a compelling opportunity for a detail-oriented problem solver who is interested in gaining more experience related to operations, communications, and/or education and workforce development.

What You will Do: 

Provide strong operations, administrative support, financial support, and scheduling for your team

Manage agendas and serve as lead documenter for internal and external project meetings
Provide scheduling support across team or project functions (e.g., site visits, conference calls, webinars, and appointments as needed)
Act as the Hiring Coordinator for your team’s hiring processes, providing critical support to hiring teams by liaising and scheduling interviews with candidates advancing through the hiring process.
Support the organization and productivity of the team members as needed by organizing, prioritizing, and summarizing emails and requests. Ensure senior members are organized, prepared, and able to focus on the highest priority work.
Manage/support the team’s senior leaders’ calendars, ensuring they’re maximizing their time and capacity towards the highest priority work
Assist with special projects by producing documents, preparing information for meetings and internal updates, acting as the point of contact with internal and external stakeholders, and/or taking notes during meetings
Maintain all project records in compliance with funder’s requirements
Draft and submit monthly progress reports, including information on key project activities, deliverables, and spending, to the project funder
Organize and coordinate key internal- and external-facing communications and events

Organize and create and/or update other communications deliverables (e.g., memos, one-pagers, blog posts) as needed
Coordinate production of deliverables, working with your team’s communications staff and JFF’s central Marketing and Communications team
Support planning and manage logistics, including maintaining invitation and registration lists and ordering meeting materials, for in-person convenings, working closely with the JFF Events team
Create, edit, and proofread materials for team, staff, and partnership meetings including preparing agendas and presentation materials
Assist with virtual and in-person meeting and event planning (coordinating hotel and dinner reservations, event invitations/tracking rsvp’s, travel reimbursements, etc.
Project Team communication and events work

Coordinate with the project team to help draft a monthly newsletter to provide external partners with updates and information
Work with project staff to draft language and curate resources for a project website created to support external partners and update the website as needed
Communications and Events work

Creates and design registration websites and custom email communications including invitations, reminders and confirmations on various registration platforms including Cvent, Eventbrite, Bizzabo, etc.
Engage with internal and external stakeholders in support of reaching team and project goals

Quickly build trust and rapport with project team colleagues and effectively liaise between team members and JFF’s Organizational Services teams (primarily JFF’s Finance, Marketing and Communications, Events, and IT teams
Build and maintain effective relationships with external partners, including the project funder, to support grant management processes and timely execution of deliverable
Who You Are:

You have Up to 2 years of related experience, through a combination of full-time work, part-time work, internships, and/or a combination of part-time work, and are eager to grow your career while working in a fast-paced environment where you can use your curious mindset to learn and grow
You have experience in or an interest in learning more about the fields of education and workforce development
You possess a strong customer-service orientation, with exceptional attention to detail, time, and organizational management skills
You are curious and a quick learner, with a willingness to take in new information, perspectives, and data to inform your work
You are a self-starter and problem solver who is comfortable working independently
You get excited about producing new ideas and using your creativity
You are comfortable working collaboratively within your team and across the organization
Your interpersonal and communication skills enable you to build trusting relationships across a diversity of internal and external stakeholders

You are proficient in Microsoft Office Suite and have a willingness to learn new technologies and tools (e.g., Oracle NetSuite, Google Sites, Asana, Adaptive Planning, SharePoint etc.)
You hold exceptionally high standards for confidentiality, possess high energy and passion for JFF’s mission and the ability to apply JFF’s core values to all areas of your work

You are willing and able to travel up to 15% of the time. (The frequency will vary according to mix of projects. Note: JFF staff travel is currently limited given the evolving context around the COVID-19 pandemic.)
