About the position: 

As a member of the Marketing and Communications department at JFF, the Senior Events Manager will play an integral role on the Marketing and Communications team that produces 30+ events each year comprising of in-person and virtual convenings. 

JFF has an outstanding reputation for hosting best-in-class convenings – sitting at the intersection of education, philanthropy, government, and the corporate business community. Our events range in size and scope: from small VIP dinners and 20-person advisory groups to 200-person peer learning institutes and our flagship annual summit, Horizons. 

Reporting to the senior director of events, the senior events manager will consult, direct, liaise and partner with all JFF program teams, JFF’s executive leadership & external business partners to develop and deliver impactful events. 

The ideal candidate must be extremely organized and possess excellent attention to detail, be experienced in vendor management and on-site event facilitation, and have a willingness to “roll up their sleeves” and jump in where needed. Communication skills, creativity, tact, professionalism and enthusiasm for delivering five-star customer service will distinguish the best candidates. 

 

What you’ll do: 

Event Management and Coordination 

Manage all logistical details around events including site evaluation and selection, contract negotiation, budgeting, pre-event marketing, food and beverage details, travel accommodations, agenda planning and on-site coordination, to post event follow up. 
Nurture and build relationships with vendors, venues, and other industry contacts while crafting and implementing the creative and logistical aspects of all events. 
Provide strategic guidance, messaging and design recommendations for overall approach, goals, budget, and creative direction of events. 
Proactively identify, research, secure buy in, and implement opportunities to improve and optimize policies, procedures, and programs. 
Apply best-in-class event management and special event techniques to improve our presence at conferences and our attendee experience. 
Remain current (or ahead of the curve) with trends in event planning, design, and production, and share them with the team.  
Organize and facilitate internal meetings with various JFF teams to ensure clear communication and objectives of assigned events, and proactively identify and solve operational challenges. 
Develop timelines for events, manage event budgets, and collaborate with business leads on content delivery and business objectives. 
Manage travel and hotel arrangements for participants and speakers when appropriate; act as a liaison with JFF’s travel agent. 
With the Events team, manage on-site preparations, production, and event breakdown; and ensure consistent, high-level service throughout all phases. 
Collaborate with the in-house Design team and marketing event manager on the production of event collateral.  
Conduct post-event data and strategic analysis to inform future events. 
Establish metrics and processes to measure events and show success, providing analysis and recommendations for continual program improvement. 
Identify marketing opportunities for JFF at external meetings and events. 
 

Who you are: 

You possess high energy and passion for JFF’s mission and the ability to apply JFF’s core values to all areas of your work. 
You have approximately 7 years of overall work experience, and have several years’ experience executing events of varying sizes.  
You display proven logistical and technical expertise in the design, marketing, management, and support of engaging live and virtual events. 
You have worked at or with hotel venues and have experience creating all event paperwork, including BEOs, audio visual details, event contracts, deposits and payments. 
Enthusiastic and high-energy individual with an exceptional time-management aptitude and ability to handle multiple projects with ease in a fast-paced and highly visible environment. 
Proficient in event platforms and customer management technology tools. Experience with the following are a bonus: Cvent, Eventbrite, Salesforce, InDesign. 
Energetic team player who can multitask and is comfortable in both leadership and support roles.   
Excellent communication skills and heightened attention to detail are essential. 
A critical thinker who can solve problems and work independently as well as collaboratively in a team environment throughout the organization. 
Domestic travel is required for this position (approximately 30%).
