Job Title: Food Acquisition Associate 

FLSA Classification: Non-exempt 

Reports to: Senior Manager of Food Donations 

 

Position Summary 

The Food Acquisition Associate is responsible for providing logistical support for scheduling, receiving, data entry and record keeping for all incoming product and agency enabled donations. The role also manages donation inquiries and the acquisition and inventory aspects of the USDA CSFP program in support of GBFB’s mission to “End Hunger Here”.

Position Essential Duties and Responsibilities

Responsible for providing logistical support for triaging, scheduling, and receiving all incoming product donations.
Responsible for donated and CSFP purchase order creation, product database maintenance, and all corresponding data input/management and record keeping.
Support the CSFP purchasing to include item selection and inventory reporting to DESE. 
Compile documentation including shipping receipts, bill of ladings, etc. for local and national food donations. 
Schedule incoming loads and work closely with the warehouse to troubleshoot delivery/receiving issues; Inspect incoming product as needed.
Provide necessary support to account for supplier invoice discrepancies.
Communicate and collaborate with Warehouse to ensure product donations are received correctly and in a timely fashion. Identify products needing special receiving instruction.
Manage and coordinate volunteer work orders for designated product/programs by providing instruction for the volunteer department and operations to see the project executed properly.
Prepare reporting support as needed for GBFB or Feeding America.
Represent GBFB at select Food Industry events including Food Shows as needed. 
Maintain donor accounts and provide excellent donor customer service support in coordination with the Managers of Donations/Local Food Donors.
Respond to donor inquiries in a timely fashion and work with Food Acquisition peers to facilitate product donations efficiently and satisfy donor requests.
Work with all departments to provide excellent internal and external customer service, including donors and agencies.

 Mandatory Education and Experience

Associates Degree required; Bachelor’s degree preferred.
Some food industry and purchase order management experience preferred.
Demonstrated analytical and computer skills with proficiency in Microsoft Office suite.
Valid Massachusetts driver’s license and access to a personal vehicle.
Genuine appreciation of GBFB’s mission and the ability to communicate it.
Demonstrates the required digital competencies that result in the effective usage of the full range of digital technologies at GBFB.
Willingness to attend food safety classes and maintain a valid ServSafe certification.
 

Physical Demands

Ability to work in an office environment 
Ability to lift up to 30 lbs.
 

Work Environment 

The job is performed indoors in an office environment but requires frequent visits to the warehouse (including warehouse coolers) to inspect inventory.
